kClub

Management software for a table tennis club: members, teams, line-ups, results, tournaments and live fixtures in one place, kept up to date all season long. A business application built on the Kore platform.

Built on KoreTournaments and live scoring without a network

The problem

A club does not lack tools — it has too many, and none of them talk to each other. The secretary's spreadsheet, the captains' chat group, the results website and the president's binder each live on their own.

  • The secretary re-types a hundred and twenty members every September.
  • The captain works out player eligibility by hand, and gets it wrong once a season.
  • The president cannot find last year's meeting minutes.
  • Call-ups go out in the evening, and three players never answer.

What kClub does

Every screenshot below comes from a fully synthetic demonstration dataset: no real club, member or result appears in them.

The club on one screen

Headcount, teams entered, what is coming up, player progression: the dashboard answers the questions asked at a committee meeting without opening anything else. Recent fixtures, upcoming ones and the standings scroll past team by team.

The club dashboard

A space for every player

A player who logs in lands on their own home screen: their next fixture with its venue, start time and car share, the call-ups awaiting an answer, their teams and their standings. Their season review brings together how their points have moved, wins and losses by opponent level, their best wins and worst defeats; a simulator works out what a match would be worth before it is played. Their training log keeps the sessions attended, the drills worked on and their goals, and their documents hold their licence and health certificates with their expiry dates.

The player’s home screen

Your members, without re-typing

The roster updates automatically: rankings, points, categories. A member's record shows their licence and progression; their matches are viewed alongside. The club can also open online sign-up to its licensed players: each request is approved by a club manager, who can also invite a player by email.

Rules apply before the match, not after

As the captain builds the line-up, eligibility is computed and the warning appears straight away — not the following Monday, once the match sheet has already gone. The table tennis line-up rules ship already configured: the club does not have to set them up.

Call-ups tracked without reminders

The captain builds the line-up for a fixture and calls the players up: each one receives the call-up in the application and by email, and answers. On the line-up, the captain sees who has confirmed, who has declined and who has not answered yet; a decline alerts them straight away. The day before the fixture, every selected player receives a reminder.

Who answered, who is called up

The venue and start time, fixture by fixture

The venue and start time are set for the club, for a team that plays elsewhere or earlier, and for a single fixture that moves. The visiting club receives the address and access instructions; internal instructions, such as the storeroom code or where to collect the key, stay with the club's own players.

Fixtures, live

A team fixture, a friendly or a tournament can be followed point by point. Players enter their matches from their phones, even without a network: entries are sent as soon as the connection returns. A referee screen shows one match full screen, indicates who serves and handles the change of ends. The live view is shared by a link, with no account needed; in TV mode, the screen in the hall cycles through the matches in progress and shows the QR code for following along. Followers receive results on their phones, and the final score can be shared as an image or a PDF.

Results always up to date

Fixtures, matchday-by-matchday results, pool standings and individual progression stay up to date through the season. A finished season remains viewable exactly as it was.

On tournament day, even without a network

Draws, pools, scores and refereeing all run on a tablet in a hall with no wifi, then resynchronise when the connection comes back. Nine formats are available, from a straight knockout draw to a Swiss system, plus a 24-hour marathon mode. For internal tournaments, ladder and pyramid draws let players challenge one another throughout the season.

And the tournaments to go and play

Upcoming tournaments are shown on a map and in a list, with their level, dates, venue and organiser. They can be filtered by distance from the club's hall and by the events open to each player's points. A player says they are going, driving or looking for a seat: the club sees who is heading where.

Who looks after what

The committee assigns each responsibility (captain, coach, membership officer, tournament organiser) to a person or a group, for one team, one sport or the whole club. Each acts within their own scope: a team's captain sets the venue and start time for their team, not for the others.

Club documents, filed

Minutes, rules, call-ups, statutes: a folder tree, per-folder permissions and a search. What was written last year can be found this year.

What gets sorted out between two sessions

A net to replace, kit to order, a car share to arrange: club requests carry a status and can be followed, instead of getting lost in a chat thread. And when the members' view is needed — the menu for the end-of-phase meal, entries for the internal tournament — a questionnaire collects the answers.

One calendar

Fixtures, training sessions, tournaments and school holidays in one place. Available competition calendars are added and kept up to date; a fixture scheduled away from its matchday's date is flagged, and a change of date alerts the team managers.

Training and groups

Sessions, attendance, coaching groups, drills and coach notes. The register is taken in one click, a cancelled session keeps its reason, and the club’s equipment (ball robot, ball baskets, nets) is booked for a session.

On a phone, with nothing to install

The screens are built for a phone: a player answers a call-up from the sports hall, a captain checks the line-up in the car. Nothing to install from an app store: it runs in the browser, and can be added to the phone’s home screen. Live results reach it even when the app is closed.

What kClub changes

kClub is not a one-off build: it is a business application built on Kore, our application platform. That is why software aimed at volunteer-run associations arrives with fine-grained permissions and an audit trail.

The Kore platform

Users, roles and fine-grained permissions, organisations, translations, GraphQL API, logging: kClub inherits all of it rather than rewriting it.

Multi-sport by construction

Table tennis is the first discipline implemented, but the data model is not specific to it: other sports are added without duplicating the application.

Frequently asked questions

What is kClub, and what kind of club is it for?

kClub is table tennis club management software published by Koraisoft. It brings together in one place the club's licensed members, its teams and their line-ups, the season's results, live fixtures, tournaments, training, the calendar and the club documents. It is meant for a club's committee (president, secretary, captains, coaches) and for its players, who each have their own space: call-ups, teams, season review, training log and documents.

Do we need to install anything to use kClub?

No. kClub runs in the browser, on a computer, tablet or phone, and the screens are adapted to a phone. From the phone's browser, kClub can be added to the home screen like an app, without going through an app store. Koraisoft runs the service: the club has no server to manage.

Does kClub handle team line-ups and player eligibility?

Yes. In kClub, the captain builds the line-up for a fixture, and player eligibility is checked while the line-up is being built: the warning appears before it is sent, not after the match. The line-up rules ship already configured, and the order of play follows the one set by the division level. The captain then calls the players up; they receive the call-up in the application and by email, and the captain sees on the line-up who has confirmed, declined or not answered yet.

Does kClub work without an internet connection?

Tournaments and live scoring do. A tournament downloaded to a tablet or computer while there is a network stays usable without a connection in the hall: pools, draws, scores and refereeing. During a live fixture, points entered without a network are kept on the device and sent in order when the connection comes back. The rest of kClub (roster, teams, line-ups, documents) needs a connection.

Can a fixture be followed live with kClub?

Yes. In kClub, a team fixture, a friendly or a club tournament can be followed live, point by point. Players enter their matches from their phones or on a referee screen. The live view is shared by a link that anyone can open without an account, is shown in TV mode on the screen in the hall, and followers receive results on their phones.
